HVAC Office Administrator – Invoicing & Proposals

About Us:

Run Rite Mechanical Corp. is a trusted HVAC contractor based in Brooklyn, NY, serving both residential and commercial clients across New York City. We are currently hiring a dependable and detail-oriented Office Administrator with HVAC industry experience to oversee invoicing and proposal preparation using Service Fusion.

Key Responsibilities:

• Create and manage accurate invoices for HVAC service and installation jobs

• Prepare clear, professional proposals and estimates for clients

• Coordinate with technicians to confirm job scope and ensure billing accuracy

• Track open estimates, follow up with clients, and maintain records

• Provide administrative support including scheduling and customer communication

Requirements:

• 5+ years of experience in an HVAC office.

• Proficiency with Service Fusion or similar service management platforms

• Excellent organizational skills and attention to detail

• Strong written and verbal communication abilities

• Proficient with Microsoft Office (Excel, Word, Outlook)

Preferred:

• Familiarity with HVAC terms and workflows

• Experience creating maintenance agreements
